What this policy covers

‍ ‍

This policy covers visitors to this website and anyone who contacts me by email, phone, or the contact form. If you take part in a film, you'll receive separate, detailed consent paperwork before any filming happens, which explains exactly how footage, photographs and recordings are used, stored and shared. Nothing is ever filmed or shared without written consent.

‍ ‍

What information I collect

‍ ‍

When you get in touch: your name, email address, phone number if you provide it, and whatever you choose to tell me in your message.

‍ ‍

If you book a film: the details needed to deliver it, such as names, addresses, filming preferences, and the photographs and materials your family provides for the film.

‍ ‍

When you browse the site: this website is built on Squarespace, which uses essential cookies to make the site work and basic analytics cookies to show me anonymous information about how the site is used (such as page views). You can control cookies through your browser settings at any time.

‍ ‍

How I use your information, and why I'm allowed to

‍ ‍

  • To reply to your enquiry and have a conversation about what you need. Legal basis: my legitimate interest in responding to people who contact me, and your consent in reaching out.

  • To deliver a film you've booked. Legal basis: performing our contract.

  • To keep basic business records. Legal basis: legal obligations, such as tax record-keeping.

‍ ‍

I will never sell your information, add you to marketing lists you didn't ask for, or share your details with anyone for their own purposes.

‍ ‍

Filming, footage and photographs

‍ ‍

Every film is made under a signed consent form covering who is filmed, what the film is for, and exactly who receives it. Films are delivered privately to the family. Nothing is ever used publicly, on this website, in marketing or anywhere else, without a separate, explicit written opt-in. Anyone who appears in a film can change their mind about public use at any time.

‍ ‍

Where your information lives

‍ ‍

  • Website and contact form: Squarespace

  • Email: Google Workspace

  • Film footage and project files: stored securely on encrypted drives with backup copies

‍ ‍

These providers act as data processors and have their own robust security and privacy commitments.

‍ ‍

How long I keep things

‍ ‍

  • Enquiries: kept while our conversation is live and for a reasonable period afterwards, then deleted.

  • Film footage: raw footage is kept securely for 12 months after your film is delivered, in case your family would like changes or additional material, then deleted, unless we agree otherwise in writing. You can ask for footage to be deleted sooner at any time.

  • Business records: kept as required by law (typically six years for tax purposes).

‍ ‍

Your rights

‍ ‍

Under UK data protection law, you have the right to:

‍ ‍

  • Ask for a copy of the information I hold about you

  • Ask me to correct anything that's wrong

  • Ask me to delete your information

  • Ask me to limit how I use it, or object to my using it

  • Receive your information in a portable format

‍ ‍

To use any of these rights, email hello@everseedstudio.co.uk and I'll respond within one month.

‍ ‍

If you're ever unhappy with how I've handled your information, you have the right to complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113. I'd always welcome the chance to sort things out directly first.

‍ ‍

Changes to this policy

‍ ‍

If this policy changes, the updated version will appear on this page with a new date at the top.
